    Responsibilities

    Hexagon is looking for a Senior Administrative Assistant for their Broomfield, Colorado office. He/she must be a strong team player that would be required to support a world-class, high energy, co-located, demanding but fun team. The Senior Administrative Assistant role:

     

    • Will perform all administrative duties to support the Senior Vice-President and all other employees including but not limited to making travel arrangements, expense report compilation and filing, time card tracking, meeting scheduling, and calendar management
    • Will provide administrative support to the pre-sales team, i.e. preparing RFP’s
    • Will be completely responsible for department budget tracking, payment processes, and budget reconciliation
    • Will help in sales activities including but not limited to creation /support of PowerPoint presentations, documentation and distribution of key meeting minutes, data entry / analysis as applicable, online research, annual users conference customer support – phone, email, and onsite 
    • Will be the facility lead for the office and liaise with building management, third party vendors, internal finance, IT, and HR departments to ensure smooth operations of the office in compliance with corporate policies. Should analyze office operations and procedures and suggest process improvements where possible.
    • Will be responsible for answering the general office phone line and manage the office front desk, ensuring the office environment public areas (lobby, conference rooms, kitchen, and copy room) remain clean, orderly, and organized at all times including watering/nurturing of live plants, monitoring inventory, ordering and stocking of office supplies and office kitchen supplies, organizing, communicating, and coordinating team events, pick-up, distribution, and dispatch of office mail/FedEx.

    Qualifications

    Qualifications:

    • At least 5 years as an Administrative Assistant managing an office in a corporate setting of a large organization
    • Must have experience and sophistication while interacting with C-suite /senior-level executives
    • Must be an extremely strong process person but with agility and flexibility
    • Must be well-organized with strong attention to detail
    • Must be a self-starter with a proactive work style and take initiative to conclude projects successfully
    • Must have excellent communication skills  
    • Must be a strong team player and foster positive collaboration

    SOFTWARE

    • Must be a super / power user of the Microsoft Office suite
    • Must be technology and online savvy
    • Must be a fast learner

    EDUCATION

    • An Associate or Bachelor’s degree is preferred.
